Before the pallets arrive
Confirm the packaging specification and destination with the supplier and forwarder. Record the agreed size, construction, treatment requirement, quantity and delivery arrangement. Make sure the required delivery date leaves time for inspection and packing. Assign one person to resolve a packaging question before it becomes a loading-day problem.
At goods-in
Match the delivered pallets to the order. Inspect their condition and the actual marks, and look for obvious contamination or signs of pest activity. Separate anything questionable. Record discrepancies while the delivery reference is still easy to identify. Do not distribute suspect units around the warehouse and expect the dispatch team to find them later.
Before wrapping and loading
Check the finished packaging assembly, including collars, cases and loose timber. Confirm that the cargo is adequately supported and secured for the agreed handling process. Capture useful photographs before wrapping hides details. Check that no unauthorised repairs or extra timber have been introduced during packing.
Before the vehicle leaves
Match the shipping documents and packaging records to the consignment. Confirm that the forwarder has any destination-specific information they requested. If there is an unresolved issue, pause dispatch and speak to the responsible supplier or logistics contact. A checklist is a useful control, but it is not a treatment certificate or a guarantee of border clearance.
Review the final assembly rather than the purchase alone
Compare what was ordered with what the packing team actually used. Look for replacement boards, extra blocking, collars and components from a second supplier. Review marks before wrapping, and keep any questioned stock out of the shipment until resolved. An order for compliant pallets does not establish the status of a later modified assembly.
Keep the evidence usable
Use one shipment reference on the packing record, photos and supplier documents. Record exceptions and their resolution. Keep importer or forwarder instructions accessible to the person releasing the goods. A checklist should make the decision visible, not become a tick-box substitute for investigating a concern.
