Specify the receiving point precisely
Provide the full address, postcode and the entrance used by delivery vehicles. State any height, width, weight, turning or booking restrictions that affect access. Tell the team whether there is a loading bay, yard or another agreed unloading point.
If a building has several entrances or tenants, identify the receiving contact and relevant unit. A central postcode alone is not a workable delivery instruction. Vehicle feasibility and any applicable arrangements are confirmed with the quotation.
Match the pallet to both sites
Establish the equipment used where the goods are packed and at their destination. Forklift entry, pallet-truck compatibility, racking and conveyor requirements can differ. Include the receiving customer’s written pallet specification, particularly for a licensed exchange product or automated handling.
Check the complete packed dimensions and gross weight. Protective materials, restraints and protruding parts can make the loaded envelope larger than the nominal pallet footprint.
Packing in London or onward to a freight operator
Clarify whether the pallets will be loaded at your own site or sent to a separate packing or freight facility. If a freight operator has to receive the packed unit, obtain its acceptance requirements before selecting the base.
An ordinary wooden pallet is not an aviation unit load device. For air-freight consignments, ask the agent about the actual tendering and handling process. For containerised cargo, confirm the loading envelope and packing plan with the responsible operator.
Product options and buying decisions
Compare UK-size, Euro-size, bespoke and other pallet options against the cargo and equipment. Ask whether new or used condition is acceptable to the customer. State deck support, cleanliness or moisture requirements separately from the plant-health treatment.
Do not assume a smaller or lighter base is suitable simply because it reduces transport volume. The design must still support the intended handling and load. For unusual equipment, obtain an appropriate packaging assessment.
Repeat deliveries and multiple addresses
If you need supply to several London sites, list the quantities, booking windows and unloading arrangements for each. Avoid combining different constructions under one internal description such as “export pallet”. A specification reference helps keep orders and deliveries aligned.
Tell the team how far ahead volumes are known and who approves changes. Price, availability and delivery scheduling are confirmed for the particular requirement, rather than inferred from a city-wide service description.
ISPM 15 and the final packing assembly
State the actual export destination and any onward movement. Include collars, crates, battens and loose timber in the scope. The receiving country’s requirements and the customer’s packaging rules need to be checked alongside the physical pallet design.
Inspect before wrapping or enclosing the goods. If the packing team substitutes timber or alters the pallet, refer that change back to the relevant supplier before dispatch.
