Product identity and revision
Give the specification a name and revision date. Record the footprint in millimetres, overall height where important, entry directions and any drawing reference. Distinguish an exact licensed or customer-approved design from a pallet that merely shares its external dimensions.
Cargo and support
Record gross loaded weight, load footprint and the positions of feet, drums, packs or other contact areas. Describe any overhang, centre-of-gravity concerns and restraint requirements. State whether the pallet is supported on the floor, forks, conveyor or rack. A single kilogram figure without support conditions is incomplete.
Materials, condition and export requirement
State new or used preference, deck arrangement and any agreed cleanliness or moisture criteria. Give the destination and include separate timber packaging components. Ask the supplier to confirm treatment and marking for the actual packaging supplied. Do not add a capacity or certification statement that has not been established for that product.
Commercial and delivery details
List quantities, repeat frequency, delivery postcode, unloading equipment and the packing deadline. Add vehicle or booking restrictions. Record the approved contact for substitutions or changes. The specification becomes more useful when a supplier can see which details are mandatory and which remain open for advice.
Acceptance and records
Agree what goods-in will compare against the order and how exceptions are handled. Keep the quote, acknowledgement, delivery record and relevant photographs together.
